Performing Arts Assistant

The University of Pikeville is actively seeking a dynamic and committed professional to serve in the role of Performing Arts Assistant to manage projects and coordinate events to support the growth and organization of our Music program. This temporary staff position is a non-teaching, administrative hourly position with an expected end date of July 1, 2022.

Responsibilities:

  1. Work with UPIKE Public Relations Department to create program/advertising for all concerts, productions, and performing arts events.
  2. Complete purchasing for all performing arts programs. Help maintain budgets, reconciliation, and work with companies to purchase items.
  3. Maintain social media accounts with updates, events, picture, etc. utilizing TikTok, Twitter, Facebook, and Instagram. 
  4. Maintain instrument/piano inventory and repair schedule.
  5. Manage work study students in logistics for concerts and rehearsal set ups for all performing arts groups.
  6. Manage space reservations for events and rehearsals.
  7. Coordinate scheduling of all activities in Booth Auditorium.
  8. Manage uniforms for choir and band including checkout and cleaning schedules.
  9. Handle physical mailings for concert, events, recruits.
  10. Manage data on recruits as well as physical mailings.
  11. Track recruits through our Music Com-Flo.
  12. Attend recruiting events as needed.
  13. Manage faculty recruitment schedules.
  14. Perform other related activities as assigned.

Relationships:

Position requires daily contact with co-workers, supervisor, students, faculty, and staff in order to disseminate necessary information and coordinate for daily operations. These relationships are maintained through electronic, telephone and person-to-person contact. 

Education/Skill Requirements:

  • High school diploma or general education degree (GED) required.
  • Flexible schedule, availability on nights and weekends.
  • Ability to perform simple accounting procedures.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Records maintenance skills.
  • Ability to communicate effectively, both orally and written.
  • Ability to maintain calendars and schedule appointments.
  • Skill in the use of operating basic office equipment.
  • Ability to create, compose, and edit written materials.
  • Proficiency with social media platforms such as TikTok, Twitter, Facebook, Instagram, etc.
  • Receptionist skills.
  • Proficient computer skills, including Microsoft Office.
  • Comfortable with routinely shifting demands.
  • Superb organization and time management skills.
  • Ability to problem-solve and work as part of a dynamic team.
