FWS - Student Affairs - Student Office Assistant - 21-22

Responsibilities: 1. Answer incoming calls for the mainline to the office. Assist the caller and/or route them to the appropriate staff member for further assistance. Greet and assist office visitors; take telephone messages when necessary and deliver the messages within a timely manner to the appropriate staff member. 2. Use Microsoft Office suite to prepare file labels, prepare and update documents, etc. Prepare various spreadsheets (Excel) and complete data entry tasks. 3. Photocopy an array of documents and keep printer filled with paper. 4. Retrieve, sort, and deliver Division of Student Affairs mail, including shipments of small boxes received from facilities. Immediately contact the appropriate staff member (via e-mail or telephone) to alert them of the shipment. 5. Check the availability of staff members' calendars and schedule meetings with students and other visitors for Division of Student Affairs staff members. 6. Deliver and pick up various documents to other campus offices, keep the outer office organized and tidy.

Minimum Qualifications: • Must assure the privacy and security of confidential documents and material handled and/or delivered. • Proficient with Microsoft Office Suite. • Ability to use and be familiar with various office equipment (copier, fax, shredder, label maker, etc.). • Strong telephone skills. • Basic knowledge of campus and services. • Dependability and punctuality. • Ability to work in a fast-paced environment. Preferred Skills: • Computer knowledge, i.e. Word, Excel, PowerPoint, Social Media & New Technology. • Attention to detail. • Strong active listening abilities. • Written & verbal communication. • Customer focused.

Work Schedule: The priority work schedule is our open hours and during special events. Work hours can be flexible to accommodate the students' class schedule: • Saturday & Sunday: Closed • Monday-Friday: 10:00 am - 4:00 pm
