Administrative Assistant - College of Dental Medicine

The University of Pikeville is currently seeking a qualified individual to serve as Administrative Assistant for the College of Dental Medicine. This individual will perform administrative and office support services for the College of Dental Medicine. The ideal candidate will be student-centered, energetic, and innovative.

  1. Create, manage and maintain Google docs for accreditation purposes for CODA (Commission on Dental Accreditation) and assist with the accreditation process including formatting and organization of documents. Maintain all necessary records for accreditation. This will include data for the college’s strategic plan and continuous improvement plan.
  2. Respond to emails, open, process/distribute mail, maintain calendars/scheduling, create travel arrangements (flights, hotels, rental vehicles), set up conference meetings, schedule zoom meetings.
  3. Process invoices, purchase orders, expense reports, and reconciliation of credit card statements and receipts.
  4. Pleasantly greet visitors to the University of Pikeville College of Dental Medicine office suite and extend gracious hospitality to all guests.
  5. Support University of Pikeville College of Dental Medicine with budget including monthly allocations and keeping the dean informed of budget.
  6. Compose and/or prepare correspondence, office memos, and forms, and take and transcribe minutes or meeting notes, as required.
  7. Processing affiliation agreements and maintaining databases.
  8. Processing adjunct clinical faculty appointments and maintaining databases.
  9. Assist the department staff and faculty to remain organized (files, calendars, reminders, etc.) .
  10. Assist with contacting vendors and purchasing clinical and instructional materials.
  11. Assist with the preparation and setup of any events.
  12. Answer telephones and direct messages appropriately.
  13. Work collaboratively in a fast-paced environment that will require strong communication, problem-solving and organizational skills. Discretion and maturity are essential to maintaining confidentiality.
  14. Other duties as assigned.

Education/Skill Requirements:

  • Bachelor’s Degree.

Relationships:

This position requires daily contact with administration, faculty, staff, students, and members of the community. These relationships are maintained through email, telephone, written, and person-to-person contact.
