Administrative Assistant

The University of Pikeville is currently seeking a dynamic and creative professional to serve in the position of Administrative Assistant for the College of Nursing and Human Services. The Administrative Assistant is expected to provide support and advanced clerical assistance to the Nursing department at the University of Pikeville by performing the following responsibilities:


  1. Admissions-related duties: admissions counseling to nursing applicants via phone or in-person on nursing curriculum and application process, compile and mail application packets, order nursing entrance exams, register applicants online for exam, enter test scores into Datatel, mail student reports, coordinate with Admissions to ensure a complete, final list of applicants, finalize applicant materials for Division Chair’s review, prepare applicant folders for Nursing Admissions committee, mail acceptance letters, coordinate acceptance/denial responses for Division Chair and Admissions, and manage list of alternates based on number who decline an admission slot.   
  2. Faculty support duties: provide copy support for faculty such as syllabi, Power-Point handouts, clinical paperwork and exams, type minutes of all Nursing committee meetings, and update and distribute student and faculty contact lists.
  3. Student orientation-related duties: collect and process student health records (i.e., physical exam, immunizations, liability insurance, CPR), finalize health folders for Division Chair’s review, maintain secure storage of health records, organize materials and participants for new student information session, and prepare mailings for all student assignments and faculty correspondence in summer.
  4. Nurses’ pinning/graduation-related duties: coordinating supplies and room preparation for pinning ceremony, mailing invitations, ordering pins, setting up photography session, distributing photographs, preparing names for pinning program, compiling Words of Thanks, and cleaning after ceremony.
  5. Inventory/Supply-related duties: order and organize office supplies, copy paper, and supplies for copier, order and track Skills Kits, including preparing list for charging student accounts, and updating inventory in Skills Lab.
  6. Other duties: supervise work study student, maintain equipment, troubleshoot problems with the copier and classroom equipment, supervise student workers, proctor tests, pick up and deliver mail and packages, help with SNAP fundraisers, compile and type student comments from course evaluations, check budget figures, prepare invoices for payments, run errands, and prepare healthcare facility evaluations.
  7. Clinical agency-related duties: Check renewal dates for each clinical affiliation agreement, prepare and follow-up on return of affiliation agreements, coordinate dates for student orientation at healthcare agencies, and compile and mail agency-required documents.
  8. Other duties as assigned.

Education/Skill Requirements:

  • Must have some college (1-2 years) focused on English or Business.
  • Should have at least 1 year of experience with general office duties.
  • Must have experience working with office equipment, e.g. computer, fax machine, printer, copier.
  • Must be familiar with Microsoft Office, particularly Word and Excel.
  • Must be familiar with ordering office supply online.


Position requires daily contact with co-workers, supervisor, faculty, students, work study students, and nursing program applicants in order to exchange information, provide admissions information, delegate work, coordinate efforts, and fulfill various requests. These relationships are maintained through e-mail, telephone, and person-to-person contact.
