Graduate Assistant for Communications - Admissions Office

The University of Pikeville is seeking a dynamic and committed professional to serve in the role of Graduate Assistant for Communications in the Office of Admissions. This position will be responsible for the dissemination of admissions communication materials and maintenance of student data in Ellucian. This position is a Graduate Assistant, day-shift position working Monday-Friday. 

Responsibilities:

  1. Import applications to Ellucian daily.
  2. Consolidate student records using critical reasoning.
  3. Retrieve daily reports from SLATE database.
  4. Merge and print address labels for daily mailings.
  5. Assemble welcome and acceptance packets.
  6. Organize and monitor inventory of marketing materials and notify management when reorders are needed.
  7. Periodically review marketing materials for corrections and updates.
  8. Assist team with the development and implementation of marketing plans.
  9. Work closely with UPIKE’s Mailroom to ensure the prompt delivery of all mailed pieces.
  10. Place phone calls to potential applicants and serve as a liaison for future Bears.
  11. Utilize meticulous attention to detail and organization to ensure each item is delivered to the appropriate person when working with many pieces of information.
  12. Research and correct bad addresses from returned mail.
  13. Add and match Financial Aid statements to student accounts.
  14. Print and mail Financial Aid Letters as needed.
  15. Maintain confidentiality of all records.
  16. Serve as a contact point for students who may visit the office.
  17. Conduct campus tours as needed.
  18. Serve as on campus support for Graduate Recruitment while Associate Director of Admissions is out recruiting.
  19. Perform other duties as directed.

Relationships: 

Position requires daily contact with co-workers, supervisors, and student workers in order to communicate, resolve issues, and ask/answer any questions which may arise. Contact with students, parents, and the public is required in order to exchange information and complete all tasks required. These relationships are maintained through e-mail, text messaging, fax machine, and person-to-person contact.

Education/Skill Requirements:

  • Bachelor’s degree required or earned by start date.
  • Ability to thrive in a fast-paced, deadline-heavy environment.
  • Must be proficient with Microsoft Office software (Word, Excel, and Outlook).
  • Must be able to multi-task and maintain good customer service skills.
  • Expected to maintain confidentiality and professionalism.
  • Must have strong organizational skills, basic clerical skills, and attention to detail. 
  • Must be familiar with operating office equipment, e.g. computer, telephone, fax, printer/copier, scanner, shredder. 

Additional Skills Desired: 

  • Experience with Slate CRM or another database software. 
  • Experience with print and digital marketing. 

** Graduate Assistants receive tuition waivers of up to 6 hours of classes per semester, housing & a meal plan. However, if the GA does not reside on campus, then he/she will receive a monthly stipend in lieu of room & board. The meal plan covers the actual number of weeks that classes are in session during the fall, spring, and summer semesters.
