Assistant Director of Medical Admissions

The University of Pikeville in Pikeville, Kentucky seeks a dynamic and committed professional to serve in the role of Assistant Director of Medical Admissions. This position, under the supervision of the University of Pikeville Director of Medical Admissions and Recruitment, assists with the recruitment and admissions of medical students in accord with The Kentucky College of Optometry (KYCO) and The Kentucky College of Osteopathic Medicine (KYCOM) mission. This individual also assists with the overall planning, implementation, and management of programs and services meant to develop and enhance long term relationships with the KYCO and KYCOM alumni.

Essential Duties and Responsibilities: KYCO & KYCOM

  1. Assists Director of Medical Admissions and Recruitment with review of candidates for interview selection.
  2. Assist with developing recruitment plans and processes to reach enrollment goals and improve the academic profile of entering classes.
  3. Develop a thorough understanding of all WebAdmit application processing functions. WebAdmit is the parent company for AACOMAS (Osteopathic Medicine applicants) and OptomCAS (Optometry applicants).
  4. Promote KYCO & KYCOM programs by recruiting and providing information to prospective students regarding the program and admission requirements.
  5. Assist in implementing a communications and visibility plan that strengthens KYCO and KYCOM’s reputation with professional audiences and its attractiveness to prospective students.
  6. Offer presentations to prospective applicants at feeder schools and at professional meetings.
  7. Oversees the proper and timely acknowledgement of inquiries via phone, e-mail, and mail about the program that are accurate and up-to-date.
  8. Implement a communications and visibility plan that strengthens KYCO and KYCOM’s reputation with professional audiences and its attractiveness to prospective students.
  9. Assist in managing and staffing campus tours for professional schools.
  10. Maintain communications pipeline with potential students.
  11. Assists in establishing strategic interview dates.
  12. Assists with scheduling interview venues and food.
  13. Enhance and maintain admissions communications funnel.
  14. Assists in preparing admissions reports to guide and support the strategic planning.
  15. Coordinates the distribution of Bear boxes. Bear Boxes are gift boxes that contain KYCO/KYCOM specific recruitment products. These products are designed to increase matriculation probability.
  16. Assists in the development of KYCO and KYCOM publications, exhibits and electronic communications.
  17. Responsible for Admissions related social media.
  18. Participate in appropriate local, state, and national professional organizations.
  19. Oversees the Optometry Scholars Program (OSP) and Osteopathic Medical Scholars Program (OMSP) programs. The OSP/OMSP programs are designed to provide a direct pipeline for UPIKE students into KYCO and KYCOM upon graduation.
  20. Provides OSP and OMSP training for Undergraduate Admissions Staff.
  21. Assists Undergraduate Recruiters with High School visits and with Guidance Counselors as time permits.
  22. Assists in managing the PEPP and Opto Camp summer programs. These programs are designed to offer rising high school Juniors and Seniors active exposure to the fields of Optometry and Osteopathic Medicine.
  23. Additional duties as assigned by the UPIKE Director of Medical Admissions and Recruitment.

Relationships:

Position requires daily contact with co-workers and work study student in order to divide duties, conduct meetings, coordinate schedules, and assign jobs.  Contact with current students often occurs for counseling purposes on personal and/or school related issues.  Contact with potential students, parents, and local schools is vital in order to discuss recruitment, recruitment issues, and financial aid issues, as well as to provide a general exchange of information. These relationships are maintained through e-mail, texting, telephone, social networking sites such as Facebook, and person-to-person contact.

Education/Skill Requirements:

  • Bachelor degree is required.
  • Project Management Experience is preferred.
  • Ability to work with technology and oversee application materials.
  • Recruiting and sales experience is also preferred.
  • Must have excellent communication skills and experience collaborating with both small/ personal and large/diverse groups of people.
  • Strong organizational, communication, customer service, and interpersonal skills.
  • Polished presentation/public speaking skills.
  • Must have experience working with office equipment and technology (Word, PowerPoint, etc.).
