Associate Registrar

The University of Pikeville is seeking a dynamic and committed professional to serve in the role of Associate Registrar, who is responsible for assisting in the leadership and administration of all facets of the University Registrar’s Office. The Associate Registrar will oversee daily operations of multiple core functions of registration and academic record keeping for the University.

Responsibilities:

  1. Organizes the collection of course offerings for each term/semester in consultation with all Deans and Division Chairs. Setup of the terms within the year, course billing, and beginning the term procedures in Colleague. Oversees the data entry of schedule of classes, as well as schedule changes (i.e. room changes, canceling of courses and notification to students, instructor changes, monitoring capacities, waitlist, etc.)
  2. Processing end of term processing which includes updating academic standing, classifications, and curriculum adjustments are executed in the administrative computer system (Colleague).
  3. Prepares the academic calendars in consultation with the University Registrar, Deans, Provost, and President.
  4. Plans, organizes, and assists with commencement including preparing a list of graduates for faculty approval; ordering diplomas and diploma covers, and the preparation of the undergraduate/graduate program. Assists with tasks related to graduation ceremonies including regalia setup and ordering, diploma orders, mailing diplomas, line-up, and selection of Junior Marshals.
  5. Certify all undergraduate and graduate students have met requirements to graduate.
  6. Responsible for setup, maintenance, and operations of the Colleague modules Degree Audit, Academic Records, Curriculum Management, Registration, Web Advisor, and Student Planning of the administrative computer system (Colleague).
  7. Coordinates and supervises the work schedule and responsibilities of work study and graduate assistants.
  8. Assists Registrar in supervisory role for Assistant Registrar for Records Management and Records Specialist.
  9. Works closely with peers in the interpretation and enforcement of academic policies and processes.
  10. Assist with accreditation processes.
  11. Supervises the evaluation of transfer credits and the Transfer Evaluation System (TES)
  12. Responsible for facilitating processes with Acadeum and course sharing opportunities.
  13. Assists with all aspects of Curriculum changes, curriculum management, and catalog updates.
  14. Maintains a good working knowledge of catalog and curriculum to provide academic advising and counseling for students.
  15. Assists with reviewing and maintaining students’ academic records and transcript notations.
  16. Registrar’s Liaison to the GROWL and Bear Pause committees
  17. Represents the Registrar's Office on appropriate committees and in meetings.
  18. Oversees the functions of all academic records; monitors mid-term grades, verifies final grades, issuing of transcripts, and daily operations of the Registrar’s Office.
  19. Remains current on issues related to the Registrar and participates in ongoing professional development.
  20. Other duties as assigned.

Relationships: 

This position requires daily contact with students, deans, faculty, staff, and members of the community. These relationships are maintained through email, telephone, written, and person-to-person contact.

Education/Skill Requirements:

  • Bachelor’s degree required; Master’s degree preferred.
  • Experience as an Associate Registrar or closely related enrollment management professional.
  • Excellent communication, leadership, and organizational skills.
