Administrative Assistant for the KYCOM Director of Student Affairs

The University of Pikeville is actively seeking a dynamic and highly motivated professional to serve in the role of Administrative Assistant for the KYCOM Director of Student Affairs and Academic Excellence. This individual will provide administrative and clerical support to the KYCOM Office of Student Affairs and Academic Excellence at the University of Pikeville by performing the following responsibilities:

Responsibilities: 

  1. Provide clerical and administrative support.
  2. Maintain correspondence data, purchase orders, check requests, expenditure reports, student organization budgets, and any other data as necessary.
  3. Handle all incoming and outgoing mail for the department.
  4. Assist with preparation and implementation of KYCOM events such as orientation, White Coat Ceremony, and Commencement.
  5. Schedule venues, food orders, and supplies for student organization events and activities.
  6. Order office supplies, handle work orders, and maintain standard forms.
  7. Operate and maintain all office machines for the department.
  8. Maintain student and other records.
  9. Other duties as assigned by the KYCOM Director of Student Affairs and Academic Excellence.

Relationships: 

Position requires daily contact with co-workers, faculty, staff, students, and the public. These relationships are maintained through e-mail, telephone, fax machine, and person-to-person contact.

Education/Skill Requirements: 

  • High school diploma is required. 
  • Associate degree or higher with at least 1-2 years of experience in higher education is preferred.
  • Must be proficient with Microsoft Office software (Word, Excel, PowerPoint, and Outlook).
  • Must have strong attention to detail.
  • The ability to work independently and to collaborate with others is essential.
  • Must be able to multi-task and maintain good customer service skills.
  • Expected to always maintain confidentiality and professionalism.
  • Must have strong organizational and clerical skills.
  • Must be familiar with operating office equipment, e.g. computer, telephone, fax, printer/copier, scanner, shredder.
