Administrative Assistant to the Athletic Director
The University of Pikeville is seeking a qualified individual to serve as Administrative Assistant for the Athletic Program. This individual will report to the Athletic Director and perform clerical support services for the Athletic Department. The ideal candidate will be student-centered, energetic, innovative, and able to work in a fast-paced environment.
Responsibilities:
- Provide support to the Athletic Director and athletic departmental staff.
- Serve as receptionist by welcoming visitors and answering/directing telephone calls and electronic inquiries.
- Maintain confidentiality and trustworthiness in the workplace.
- Ability to handle confidential information with discretion.
- Communicate effectively with college students, staff, and faculty within a higher education environment.
- Assist in communication with other colleges and associations.
- Assist with arranging for departmental and team travel.
- Assist athletic trainers with obtaining required supplies, forms, and information from coaches and athletes.
- Coordinate timesheets, leave sheets, DocuSign, and reconcile credit cards.
- Assist with requisition purchase orders.
- Schedule meetings, appointments, and maintain/manage calendars.
- Respond to messages and assist with walk-ins.
- Respond to telephone calls, route calls, take messages and assist staff, students, parents and community in regard to concerns and questions.
- Coordinate all outgoing and incoming mail and distribute it to staff/coaches.
- Maintain and monitor departmental budget.
- Assist with a variety of projects within the Athletics Department.
- Perform other related duties as assigned or requested by the Athletic Director.
Relationships:
This position requires daily contact with coaches, faculty, staff, students and members of the community. These relationships are maintained through email, telephone, written, and person-to-person contact.
Education/Skill Requirements:
- Bachelor's Degree.
- Be a person of outstanding integrity.
- Proficient in Microsoft Office Suite and Google Suite.
- Demonstrate support of the University mission.
- Possess excellent communication ability and organization skills.
- Demonstrate decisive management skills.
- Possess project management skills.
