Office Assistant - Registrar's Office

The University of Pikeville (UPIKE) is seeking an Office Assistant who will perform clerical services to the entire academic community in the Registrar’s office and serve as assistant for the University Registrar and Associate Registrar.

Description:

The University of Pikeville (UPIKE) is seeking an Office Assistant who will perform clerical services to the entire academic community in the Registrar’s office and serve as assistant for the University Registrar and Associate Registrar.

Primary Responsibilities:

  1. Upholds the integrity of the Registrar’s Office and all parts of the University of Pikeville. Will not allow anyone else to use his/her username/password or otherwise obtain access to all types of academic records. He/she agrees to protect his/her username/password against inadvertent disclosure and/or share his/her name/password with other individuals or entities. He/she agrees to comply with all federal, state and local requirements pertaining to the security, confidentiality and privacy of information maintained by the University of Pikeville, including the Federal Family Educational Rights and Privacy Act (FERPA).
  2. Functions as a receptionist: Duties include, but are not limited to answering telephone, in-person and email inquiries and requests; ascertains the nature of business of each, and then disperses them to appropriate person or persons. Also, schedules appointments for registrars using Outlook Calendar; maintains good customer service; and distributes copies of all forms maintained by the Registrar’s office.
  3. Orders all office supplies, completes purchase orders, check requests, expenditure vouchers and work orders generated within the Registrar’s office, as well as reconciles the credit card statement each month.
  4. Perform scanning using Image Now, verifying scanned document, linking, and purging/shredding of academic permanent files/records.
  5. Assistants students with the registration process; checking forms, processing drops, adds, and withdrawals; assigns advisors; changes, adds, activates, and withdraws academic programs.
  6. Processes transcript and record requests in all modes of delivery via Parchment platform and serves as Parchment administrator.
  7. Processes Request for Directed Independent Study/Directed Research/Internship/Practicum forms including creation of classes, assessment of fees, registration and notification to student, instructor, and advisor.
  8. Prepares deferments; letters of good standing; enrollment verification letters/forms, insurance forms, international letters, mail merges, envelopes, reports, etc., except for KYCO and KYCOM.
  9. Performs data-entry into Colleague from various forms including Petition for Course Substitution, Incomplete "I" Grade forms, Change of Grade Request, Registration Permissions Request Form, etc.
  10. Assists with data-entry of class schedules.
  11. Assists with the preparation and implementation of graduation ceremonies.
  12. Utilizes word processing, the internet, electronic mail, spreadsheets, databases and other computer and technologically enhanced learning tools to carry out responsibilities in an efficient and thorough manner.
  13. Demonstrates willingness to continue training and/or education to meet changing needs and procedures in academic administrative support services.
  14. Performs other duties as assigned.

Secondary Responsibilities:

  1. Handles incoming and outgoing mail for the Registrar’s Office.
  2. Performs additional duties as required by the University Registrar, including, but not limited to, taking and transcribing minutes of meetings, typing data research, copying and assembling materials.
  3. Performs inventory of forms in stock for everyday use, maintains copier machine including placing service calls, and places printing orders, as needed.

Responsibilities When Needed:

  1. Schedules and notifies confirmation of campus classroom facilities for the university and public use (except for Booth Auditorium, COAL building, HPE building, Gymnasium, Walters Room, and Sturgill Board Room).
  2. Monitors waitlisted classes and performs registration and notification to students.

Relationships:

Position requires continuous contact with co-workers, supervisor, student workers, graduate assistant, faculty, and staff in order to assign jobs, obtain instructions, make decisions, and answer any questions that may arise. Contact with students and parents is necessary in order to talk about schedules, transcripts, enrollment information, class instructors, and any other inquiries that may arise.

These relationships are maintained through e-mail, telephone, or person-to-person contact.

Education/Skill Requirements:

  • A Bachelor’s degree preferred, minimum Associate degree from a college or technical/vocational school (2 years), or equivalent work experience with business studies preferred.
  • Some (2-3 years) experience using basic clerical skills
  • Must have ability to multi-task.
  • Must have excellent written and oral communication, organizational, typing, and critical thinking skills.
  • Must be proficient with Microsoft Office, particularly Word and Excel.
  • Must have experience working with office equipment including computers, copiers, telephones (multi-line), printers and scanners.
  • Recommended experience with database management, such as a Student Information System (SIS), particularly Colleague/Ellucian.

Assistant Strength and Conditioning Coach

Description:

The University of Pikeville in Pikeville, Kentucky seeks a dynamic and creative Assistant Strength and Conditioning Coach. This position is responsible for establishing and maintaining strength and conditioning programs for  sports assigned by Head Strength and Conditioning Coach, with the three major goals of improving athletic performance, reducing athletic injuries, and teaching lifelong fitness and movement skills. The Assistant Strength and Conditioning Coach will devise training plans according to sound scientific principles, supervises training sessions, evaluates athletes, maintains athlete records, and supervises work study and internship students. The Assistant Strength and Conditioning Coach meets regularly with sport coaches to determine what the athletes need to focus on. If working with an injured athlete engaged in rehabilitation, the Strength and Conditioning Coach will consult with the sports medicine or athletic training staff. The Assistant Strength and Conditioning Coach is responsible for maintaining the strength and conditioning facility.

Primary Responsibilities:

  • Design, implementation and scheduling of strength and conditioning programs in‐season, off‐ season, and preseason for this position’s assigned sports including strength, power, speed, agility, conditioning, and more.
  • Work in cooperation with the sports medicine and athletic training staff to help reduce the risk of injury and to help develop return to play plans if injuries occur.
  • Facilitate a collaborative relationship among assigned sport coaches, sports medicine, and the strength and conditioning staff.
  • Maintain weight room equipment to ensure clean and safe workspace for student athletes.
  • Develop systems for tracking athlete attendance and athlete progress in conjunction with the sport coaches.
  • Conduct an annual needs analysis for each sport team in conjunction with the sport coaches and the team’s athletic trainer at the conclusion of each sport season.
  • Work with other areas of campus such as Health and Human Performance Program to provide internship and work study opportunities for our students.
  • Determine and reinforce expectations for athlete conduct that mirror the school’s expectations.

Qualifications:

  • BS in Kinesiology or related field. Master’s or working towards Master’s preferred.
  • Minimum experience of 2 years in field (including graduate assistantship).
  • Must possess Certified Strength and Conditioning Specialist (CSCS) through the National Strength and Conditioning Association (NSCA) or Strength and Conditioning Coach Certified (SCCC) through the Collegiate Strength and Conditioning Coaches Association (CSCCa).
  • Current standard first aid, cardiopulmonary resuscitation (CPR), and automated external defibrillation (AED) certifications.
  • A strong working knowledge of basic strength training techniques and Olympic Lifts.
  • Experience and/or expertise in strength and conditioning programming for collegiate populations.
  • Strong motivational abilities.
  • Evidence of ability to interact positively with student athletes, colleagues, and the public.
  • Evidence of strong organizational skills and effective oral and written communication skills.

Physical Requirements:

  • Ability to demonstrate the appropriate skills and techniques to be used by the athletes.
  • Ability to visually monitor athletes.
  • Sitting, standing, lifting and carrying (up to 50 pounds), reaching, squatting, climbing stairs, kneeling, and moving equipment/boxes up to 50 lbs.

Safety and Health Requirements:

  • Current standard first aid, cardiopulmonary resuscitation (CPR), and automated external defibrillation (AED) certifications.
  • Knowledge of universal hygiene precautions.
  • Knowledge of current Strength and Conditioning Professional Standards and Guidelines.

Work Environment:

  • Must be able to work within various degrees of noise, temperature, and air quality. Work surfaces will vary from concrete to grass to hard wood floors. Job responsibilities require both inside and outside assignments. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignment without direct supervision. Evening and weekend work will be expected. Must be able to work under stressful conditions.

Under the direction of the Associate Dean of Clinic Affairs, the Director of Graduate Medical Education is directly responsible for working with KYCOM administration and faculty to develop graduate medical education that meets the needs of its graduates within the defined service area and is consistent with KYCOM’s mission. They are to assist new and existing GME programs in meeting the requirements for accreditation as well as in meeting the requirements for osteopathic recognition.

Responsibilities:

  1. Recruit and develop new osteopathic training programs and provide administrative knowledge and reference materials for existing programs.
  2. Assists in the preparation of materials and documentation required for COCA and ACGME accreditation.
  3. Be present at site visits, inspections, conferences, residency fairs, and all other business-related travel.
  4. Monitor and facilitate the maintenance of web-based curriculum, faculty development, research didactic programming, grand rounds, etc.
  5. Work independently and make decisions within the department on routine work.
  6. Organize, coordinate, and prepare necessary minutes at meetings and conferences.
  7. Perform general clerical duties to include but not limited to copying, faxing, mailing, filing, answering phones, and responding to email communication.
  8. Travel, as needed, to promotional events, site visits, conferences, and other occasions as requested by the Associate Dean of Clinical Affairs.
  9. Support faculty and staff in assigned project-based work and in efforts to maintain continued COCA and ACGME accreditation.

Relationships:

Athletic Academic Coordinator - Center for Academic Excellence

Description:

The University of Pikeville (UPIKE), is actively seeking candidates for an Athletic Academic Coordinator with the Center for Academic Excellence. The primary function for this position is to assist the Center for Academic Excellence (CAE) and Division of Student Success in providing proactive academic support for student athletes at the University of Pikeville (UPIKE). The Athletic Academic Coordinator will utilize appropriate learning strategies and academic coaching in support of student athletes, with a specific focus on those identified as at-risk, in their endeavors to improve and enhance their study skills in a safe and encouraging environment. The Coordinator will work with assigned students on an individual and/or small group basis to develop learning strategies, study skills, and time management skills, as well as to monitor progress toward completion of academic coursework to maintain athletic eligibility and promote equitable student success.

Responsibilities: 

  1. Monitor progress and provide academic support to student athletes in completing academic coursework throughout the semester. The Coordinator will document progress and submit weekly reports to the Director of the Center for Academic Excellence and coach(es).
  2. Utilize the CAE’s My Academic Plan (MAP) initiative to meet the needs of at-risk students through weekly meetings, study groups, tutors, after-session reports, and academic session hours.
  3. Host learning and skills-based workshops targeted toward the specific needs and challenges of student athletes as approved by the division of Student Success.
  4. Provide holistic and proactive academic coaching for student athletes.
  5. Assist the CAE Director and Assistant Dean of Student Success with assessments involving academic support services provided to student athletes at UPIKE.
  6. Focus on implementing specific strategies to assist students with academic deficiencies and those with personal and/or family issues that affect their ability to persist.
  7. Under the supervision of the CAE Director, maintain a positive working relationship with the Athletic Director and athletic coaches, as well as with faculty, staff, and student staff.
  8. Monitor student attendance and academic progress through the university’s early alert system for assigned students and share information with CAE Director and coaches weekly.
  9. Make referrals to appropriate departments including Student Success, Student Affairs, Registrar, Business Office, Financial Aid, ACE, Disability Resource Center, etc. and monitor progress and resolutions when appropriate.
  10. Maintain confidential records regarding interactions with students in accordance with FERPA Regulations.
  11. Engage in professional development opportunities as provided, specifically involving NAIA rules and regulations, academic coaching, and academic support services.
  12. Represent the Center for Academic Excellence and division of Student Success on committees and taskforces as needed.
  13. Assist with any new Center for Academic Excellence initiatives and collaborations as determined by the Director.
  14. Other duties as assigned by the CAE Director or Assistant Dean of Student Success.

They will oversee the Content Management System (CMS), UI/UX (user interface/user experience), and web development operations for all UPIKE web properties. This role ensures engaging and current content, strategic alignment, and brand compliance while also maintaining and reporting website metrics to drive data-driven initiatives. The position reports primarily to the Director of Marketing and Communications for design, branding, and marketing and secondary support from the Director of IT Services for development.

Web Design Responsibilities:

  1. Creative Design and Development: Responsible for the conception and development of prototype concepts through to the final programming for UPIKE websites.
  2. Agency and Creative Services Management: Manages agency and creative services in support of web design.
  3. CMS Administration: Serves as the CMS Administrator, ensuring ADA compliance, managing access permissions, determining workflow, leading the design and implementation of CMS features and user interfaces, and resolving content maintenance issues.
  4. Framework Development: Creates and maintains the framework for web page development, including databases, content, organization, and navigational structure.

The adjunct professor is expected to teach in the Coleman College of Business program while accepting the following responsibilities:   

  1. Teaching the assigned business course, this includes lecture notes, presentation prep, exam questions prep, and syllabus prep.
  2. Participating in and recommending curriculum development and evaluation.
  3. Providing tutoring for students on an as-need basis.
  4. Responsibilities for all other duties as assigned by the Dean.

Requirements:

  1. Must have a minimum of Master’s degree.
  2. Must have a minimum of 18 graduate hours in the academic discipline to which you are applying.
  3. Must have excellent organizational, communication, teaching and decision-making skills.
  4. Prior college teaching experience is strongly preferred.
  5. Experience using CANVAS and/or other web-based learning platform preferred.

Classes are offered days, evenings, and online. Positions are available in the Spring, Summer and Fall semesters on an as needed basis. Review of applications will begin immediately.

The University of Pikeville Kentucky College of Osteopathic Medicine (UP-KYCOM) is seeking individuals interested in applying for the Standardized Patient and Human Model Program on the school’s campus.

Temporary, Kentucky College of Osteopathic Medicine (KYCOM)

Description:

The University of Pikeville Kentucky College of Osteopathic Medicine (UP-KYCOM) is seeking individuals interested in applying for the Standardized Patient and Human Model Program on the school’s campus.

A standardized patient is a person willing and trained to portray an actual patient with a specific medical history and physical exam findings for the purpose of instructing health professional students. A human model is a person willing to serve as an actual patient for physical examination training by health professional students. You are not required to do both; you may choose. 

Interested candidates for the Standardized Patient and Human Model Program should have flexible schedules, an ability to maintain confidentiality and professionalism, and an interest in medicine and medical education. Standardized patients and human models are hired by KYCOM as contracted and will be paid an hourly wage for training and providing requested services. Interested individuals must be age 18 or older to apply.
